Privacy Policy

Effective April 25, 2026

Transcenda Computer Systems (Dubai, UAE) (“Transcenda”, “we”, “us”, or “our”) operates the website at transcenda.io and a suite of associated products. This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and the choices you have. By using transcenda.io you agree to the practices described here.

1. Information we collect

  • Information you give us — name, email, phone, company, and the message body of any contact or inquiry form you submit on our site.
  • Authentication signals — when you click “Login”, you are taken to Transcenda ID (id.transcenda.io). Authentication is handled by our identity provider; we receive only the profile fields the identity provider releases (typically: subject ID, email, display name).
  • Anti-abuse signals — Google reCAPTCHA tokens used to differentiate humans from bots on our forms.
  • Usage and device data — IP address, approximate location, browser type and version, device type, pages viewed, referrers, and timestamps. Collected via Vercel Analytics, Google Analytics / Google Ads tags, and the Meta Pixel.
  • Cookies and similar technologies — used by the providers above and by Cloudflare to operate, secure, and measure the site.
  • Messaging — if you reach out via Telegram, WhatsApp, or email, the contents of those conversations are processed by the relevant platform and by us in order to reply.

2. Why we use it

  • To respond to inquiries and quote requests.
  • To deliver, maintain, and secure our services.
  • To prevent fraud, spam, and abuse of the contact forms.
  • To measure aggregate site performance and improve the product.
  • To comply with legal obligations and enforce our Terms & Conditions.

3. Third parties

We share data with infrastructure and analytics providers strictly to operate the site:

  • Vercel (hosting, edge, analytics) — privacy.
  • Cloudflare (CDN / DDoS protection) — privacy.
  • Google (reCAPTCHA, Analytics, Ads / GTM) — privacy.
  • Meta (Pixel) — privacy.
  • Telegram (when you message our bot or channel) — privacy.
  • GoHighLevel (CRM that receives contact-form submissions) — privacy.

We do not sell personal information.

4. Cross-border transfers

Our infrastructure providers operate globally. Personal information may be processed outside the United Arab Emirates, including in:

  • Germany (Frankfurt) — identity (Transcenda ID / Keycloak) and product user databases, hosted on Hostinger.
  • France (Lauterbourg) — Transcenda Voice telephony switch (FusionPBX/FreeSWITCH) for users of our Voice product. Call signalling, voicemail, and (where enabled) call recordings are stored on this infrastructure.
  • Global edge networks — Cloudflare, Vercel, and Google for content delivery, DDoS protection, and email transit.

Cross-border transfers from the UAE/EU rely on standard contractual clauses with each provider. We are working to localize Voice telephony to the UAE; the current effective region is documented above and updated as that work progresses.

5. Data retention

We keep different categories of data for different periods, defaulted to the shortest period needed for the stated purpose. Defaults applicable to our Services:

CategoryRetention
Call detail records (CDR)24 months
Voicemail audio + transcripts90 days, then auto-purged
Call recordings (when enabled)24 months
Audit log (sign-ins, role and permission changes)12 months
Account profile datauntil deletion + 30-day grace, then cascade-purged
Contact-form submissions / CRMuntil inquiry is resolved + 24 months
Aggregated analytics (anonymized)indefinite

Where regulation requires longer retention (for example, UAE TRA rules for licensed telecommunications providers), the longer statutory period prevails.

5b. Voice & telephony services

When you use Transcenda Voice we process the following voice-specific data on your behalf, as data processor under your tenant’s instructions:

  • SIP/WebRTC media streams (calls), encrypted in transit (TLS / SRTP)
  • Call detail records (caller, callee, direction, duration, disposition)
  • Voicemail audio and any transcription text generated by our PBX
  • Call recordings only where the tenant administrator has enabled them and where applicable consent has been obtained from call participants
  • Device telemetry from the Transcenda Voice mobile app (extension status, app version, push token) for routing and incoming-call delivery

Sub-processors used to deliver the Voice service:

  • FusionPBX / FreeSWITCH on Contabo (Lauterbourg, France) — PBX
  • Twilio — PSTN connectivity (inbound and outbound)
  • Apple Push Notification service / Google Firebase Cloud Messaging — incoming-call delivery to the mobile app
  • SMTP2GO — transactional email (e.g. password resets)

6. Your rights

Under the UAE Personal Data Protection Law (Federal Decree-Law 45 of 2021), the EU General Data Protection Regulation, and other applicable laws, you have rights to access, rectify, port, restrict, erase, and object to the processing of your personal data, and to withdraw consent at any time.

To exercise any of these rights write to [email protected]. We will acknowledge your request within 7 days and respond within 30 days. For deletion requests on Transcenda Voice we will erase your account, voicemail, and associated profile within the 30-day window, while retaining call detail records that we are required to keep for billing or regulatory purposes — those are anonymized and not linkable back to you.

You also have the right to lodge a complaint with your local data protection authority (the UAE Data Office, or the relevant EU supervisory authority where you reside).

7. Children

Transcenda’s services are not directed at children under 16. We do not knowingly collect information from children. If you believe a child has submitted personal information, contact us and we will delete it.

8. Security

We use industry-standard safeguards (TLS in transit, scoped access controls, audit logging) to protect your information. No system is perfectly secure; please use strong, unique passwords with Transcenda ID and report suspicious activity to [email protected].

9. Changes to this policy

We may update this policy as our products evolve. The effective date at the top of this page reflects the most recent revision. Material changes will be communicated through the site.
